We recommend you to check your disk usage regularly and delete those mails which are no longer useful to keep your usage below your quota limit. If you don't care about your mailbox, it will grow and use all of your disk space. At that time you couldn't receive new mails because there will be not enough space for new incoming mails.

1. Check Your Current Usage

There are two ways to check your current usage.

I. Login the Webmail system and you will then find an usage bar displayed on the screen showing your current usage.

II. Login the ITSC Accounts Information Management System

  1. Login with your Computing ID and CWEM password.
  2. If login is successful, you are entering our Computer Accounts Application and Enquiry System. Choose "Campus-wide E-mail System (Mailserv)" at your left hand side of the page.
  3. The system will then display your current usage on the screen.

2. Apply for Extra Disk Quota

If you find your current disk quota inadequate (500MB for Staff, Department and Project Accounts; and 150MB for Students and Society Accounts), you can apply for extra units according to your required periods.

3. How to Delete E-Mails

Before you do the following procedures, your computer must be connected to the Internet.

a. Outlook Express Users

  1. Click the associated mail
  2. Click Delete button on the Toolbar to delete the selected mail(s)
  3. To permanently delete these mails,
    A. IMAP users on the Edit menu, select Purge Deleted Messages
    B. POP users on the Edit menu, select Empty Deleted Items Folder.

b. Netscape Messenger Users

From the File menu, select Compact This Folder option. After you select this option, the Netscape Messenger will remove those mails which marked deleted.

If you still fail to delete mails using this option,

  1. Select Preferences... from the Edit menu
  2. In the Category window, Select Mail Servers from Mail & Newsgroups section
  3. In the Incoming Mail Servers window, highlight mailserv.cuhk.edu.hk and then press Edit
  4. Select the IMAP tab. Now you can find a "When I delete a message:" section. You're recommended to set it to: Mark it as deleted. For this option, Netscape Messenger will not delete your message, even you mark it as delete.
  5. Select Compact This Folder option from the File menu. And mails should be deleted accordingly.
