The Campus-wide E-mail System (CWEM) was upgraded on 13 July, in response to the demand for more e-mail storage and better service reliability. Here are the details of the upgrade plan.

1. What are the benefits of this upgrade?
This upgrade has brought a number of new features and benefits to all users:
- Increased e-mail storage space
E-mail storage space has been increased to 500MB for Staff, Department and Project Accounts; and 150MB for Students and Society Accounts.
Moreover, user accounts would not be locked up when the quota is exceeded. Users are able to delete e-mails in order to release disk space.
However, extra quota will still be provided for users. Please visit the following page and fill in the corresponding application form if necessary.

- Enhanced functions: E-mail Forwarding and Vacation Auto-Rely
The new web interface makes it much easier for you to change the setting of mail forwarding and vacation auto-reply through the CWEM Webmail System (http://webmail.cuhk.edu.hk).

- Better service performance offered by the new e-mail architecture
A faster response is guaranteed when opening e-mails because each of your e-mails is stored in a separate file or folder, in contrast to the past single file for all of your e-mails.
- Improved service reliability
The upgrade brings our e-mail service with a higher level of security and scalability and in turn benefits the users.

2. What had we done before the upgrade?
The new system now supports the following special characters: _ + - . : = @ .
To ensure a smooth migration of users' accounts, our system renamed these unsupported special characters as ‘space’ if they had been used as the folder names in their accounts.
Therefore, if users had included other special characters like ( ), [ ] or !, e.g. (ITSC), [ITSC!mails] as the folder names, they were required to rename them before the migration.

3. When did this upgrade take place?
The upgrade was carried out in two phases:
a. Phase 1 - Staff mailbox migration:
3am 13 July - 9pm 13 July (Suspension of e-mail service)
b. Phase 2 - Student mailbox mirgtaion:
9pm 13 July - 11am 15 July (E-mail service available as usual)
The upgrade migrated current e-mail accounts and e-mails, both staff and students, from the old servers to the new servers with additional capacity. During the service suspension period, all e-mails had been backed up and restored to the new system when ready.

4. When did CWEM service resume?
All users can access the new CWEM system from now on.
- Account Migration Completed
All the accounts have been successfully migrated to the new CWEM system. Users can read both their old and new e-mails as usual in the new system at http://webmail.cuhk.edu.hk.
- Access to the Old CWEM System
If you need to access your past e-mails (that kept in the server before the upgrade) during the migration, you can access them via http://webmailold.cuhk.edu.hk.

5. What are the impacts brought by the upgrade?
Please restart your computers when you receive an error message like “URL/page not found” as the old IP address of webmail/CWEM servers may have been cached in your computers.
a. Webmail users
The upgrade will cause no impact for Webmail users. You can still access CWEM at http://webmail.cuhk.edu.hk.
b. POP and IMAP users (Using e-mail programmes like Outlook Express, Thunderbird, etc.)
If you’re not sure whether you are using a POP or IMAP e-mail programme, you can check according to the following.
Outlook Express users:
a. Right click “mailserv.cuhk.edu.hk”.

b. “IMAP Folders” will be shown if you are an IMAP user. |

POP users can still download all new e-mails and leave your e-mails on the server via a POP/IMAP supported programme as usual.
IMAP users have to remove “Mail” from “Root Folder” (as shown below) in your IMAP client programme. Otherwise, you can only find the Inbox for your e-mail account.
Outlook Express users:
| a. Right click “mailserv.cuhk.edu.hk” and select Properties. |
b. Click IMAP tab. And then remove “Mail/” from “Root Folder”. |

c. Pine/elm users
Pine/elm users will no longer be supported by the new system because the access via SSH/SFTP, Telnet and FTP have been decommissioned. You need to access your e-mails either through the CUHK Webmail system (http://webmail.cuhk.edu.hk) or an IMAP/POP supported e-mail programme.
