1. Introduction

ITSC provides computing accounts and services to staff and students of the University based on their role in the University. ITSC also provides computing accounts and services to projects, departments and student societies on need basis.

2. Eligibility of a Computing Account
2.1 Role-based
    2.1.1 Students
  • Registered undergraduates confirmed by RES OR
  • Registered postgraduates confirmed by GSO OR
  • Those with valid CU Link card entry.
  2.1.2 Employees, Appointees and Life-long Honored Appointment Employees
       2.1.2.1 Employees
  • Those with valid CU Link card entry.
       2.1.2.2 Appointees 
  • Post-doctoral honorary fellow identified by Personnel Office and affiliated departments OR
  • Nil-salary appointment by CUHK.
       2.1.2.3 Life-long Honored Appointment 
  • Faculty members who are granted emeritus status by the University of CUHK

2.2 Need and Application-based

    2.2.1 Retirees
  • Retired staff as defined by Personnel Office.
    2.2.2 Guests
      2.2.2.1 Free temporary computing accounts 
  • For academic scholarly and research work in the University.
  • For person who works for the Chinese University of Hong Kong and endorsed by the department/unit to which the person is affiliated to.
  • Wi-Fi guest accounts for short stay guests can be obtained through the affiliated department/unit. The Wi-Fi guest accounts should only be used in locations where the Wi-Fi facilities have been setup.       2.2.2.2 Charged temporary computing accounts 
    2.2.3 Project/Departments/Student Societies
      2.2.3.1 Project
  • CUHK projects.
  • Accept application for department /unit projects .
      2.2.3.2 Departments
  • CUHK departments.
  • Accept one application for each department only.
      2.2.3.3 Student Societies
  • Societies that have been registered in the Office of Student Affairs (OSA), Departments or Colleges.

3. Eligible Services
The following services are granted automatically when a computing account for staff and student is created:
  • Campus-wide E-mail.
  • E-mail Aliases - a preferred name in the alias@cuhk.edu.hk e-mail address.
  • iHome - Personal home page.
  • ITSC PC LAN - Use of PCs in ITSC user area.
  • Classnet/Resnet/VPN.
  • Network access through network ports on campus.
  • CUHK portal (MyCUHK)
  • Wireless LAN - Wireless access on campus.

4. Computing Accounts Format, Application Procedures and Update

  4.2 Computing Account Application Procedure and Update
      4.2.1 Project
  • Project leaders must be a staff with EO/lecturer grade or above.
  • Update ITSC whenever there is an information change, such as change of project leaders.
      4.2.2 Department
  • Endorsement by department head is necessary.
  • Update ITSC whenever there is an information change, such as change of department head.
      4.2.3 Student Society
  • Endorsement by chairperson of the student society is required

5. PIN and Password of Computing Account

The PIN of computing account is the Computing ID which uses for logging in to the eligible services that ITSC provided. The password is the CWEM password. Users are advised to change their initial passwords and change passwords frequently. If ones forget the password, he/she can request to reset his/her password. 6. Management of the CWEM Password

  • Request for resetting password can be made in person at the Help Desk of ITSC. Valid CU Link card has to be produced for identity verification.
  • Request for resetting password can be made by postal mail/email. After completing the corresponding application form ( http://www.cuhk.edu.hk/itsc/onlineapp/form/s01.doc), you can return it with a photocopy of your CU Link Card to ITSC through one of the following means:
    • By paper mail: Please supplied with a stamped self-addressed envelope.
    • By e-mail to aims@cuhk.edu.hk.
    A new password will be sent to your personal e-mail address specified in the application form.
  • For staff, the new password can be collected through campus mail in department.
  • For students, account information can be collected through postal mail to correspondence or home address.

7. Computing Accounts and Related Services Life Cycle

7.1 Account Life Cycle                               
  • Re-employed staff will use the previous Computing ID of the account.
  • Re-entered students will be given a new Computing ID and the previous Computing ID of the account will never be used again.
  • The Computing ID of Department account will be subject to its existence. If the department is no longer exists, its Computing ID will be cancelled as well.
  • The Computing ID of Project or Student Organization account will be subject to its annual renewal.
7.2 Expiry of Computing Accounts and Related Service created on Role Basis that refers to 2.1 in above
7.2.1  Follow the expiry date on the CU Link card unless otherwise updated by
  • Registration and Examination Section (RES) and Graduate School Office (GSO) for undergraduate and postgraduate students respectively. OR
  • Personnel Office (PER) for employees and appointees. OR
  • Department justified request sent to ITSC for approval.

7.2.2 A reminder of notification will be sent to official account holder one month before the expiry of account and related services.

7.2.3 Students are advised in the notification 
  • To backup the data stored in related services such as e-mails and webpage files.
  • To join the alumni e-mail forwarding services and to collect or settle the balance in their printing account if any.
7.2.4 Staff is advised in the notification 
  • To backup the data stored in the related services such as e-mails and webpage files.
  • To join the retirees’ services if they are eligible to.

7.2.5 On the date the computing account is expired, related services are closed by disabling its access on the following working day, by resetting the related password.

7.2.6 Expired and closed accounts and related services will finally be deleted after one month.

7.3 Expiry of Accounts and Related Services created on Need and Application Basis that refers to 2.2 in above

  • Annual expiry reminder of notification will be sent to owner of the account.
  • Unless there is renewal or extension request received by ITSC, all expired accounts and related services will be closed on the following working day on which the accounts expire.
  • Expired accounts and related services are closed by means of disabling its access for the expired accounts and related services, by resetting the password of the expired accounts.
  • Upon closure of computing accounts and related services, no backing up and restoring of data will be granted unless there is strong justification.
  • Expired and closed accounts and related services will finally be deleted after one month.
7.4 E-mail Alias

E-mail alias of the account would be frozen for 3 months once an associated computing account is expired. During the account expiration period, e-mail sending to this account would be bounced back to the sender. And the alias could be re-used by any current computing account holders after 3 months.

7.5 Data Backup and Recovery
  • Upon closure of the computing accounts and related services, no backing up or restoring of data will be granted unless there is strong justification.
  • It is the responsibility of individual account holders to archive and backup their personal directories for the purpose of data recovery.
  • Request for recovery of lost individual data that is of extreme importance can be made to ITSC and is subject to careful review and consideration. And service will be charged on HK$300/hour that ITSC has involved in this task.

8. Distribution and Collection of Computing Accounts Information

8.1 Computing Accounts and Related Services created on Role Basis that refers to 2.1 in above

  • Collect in person with valid CU Link card at ITSC Help Desk.
  • Collect by postal mail by providing copy of identity, such as HKID/overseas passport and CU Link card, for identity’s name and expiry date on CU Link card validation.

8.2 Computing Accounts and Related Services created on Need and Application Basis that refers to 2.2 in above

  • For projects and departments, information will be distributed to the applicants by campus mail in three working days
  • For student societies, the chairperson needs to collect in person with valid CU Link card at ITSC Help Desk.
  • For retirees, information will be distributed to the retiree through the contact e-mail address provided in the related application form in three working days.
  • For guests, information will be distributed to the department to which the person is affiliated to by campus mail.
