1. Setting up the Hosts Information in Outlook Express

1. On the Tools menu, select Accounts.
2. Click Add and select Mail. An Internet Connection Wizard will display.
3. On Your Name page, enter Your Name in the Display name and click Next.
4. On Internet E-mail Address page, enter your e-mail address in E-mail address and click Next.

5. In E-mail Server Names page, choose server type as IMAP or POP.

(What is POP and IMAP?)

Enter Incoming Mail Server as mailserv.cuhk.edu.hk and Outgoing Mail Server as mailserv.cuhk.edu.hk, then click Next to continue.

Note:
** If you are using a non-CUHK network connection, you should set your ISP mail server as the outgoing Mail Server.

What is POP and IMAP?

POP means that all your mails will be downloaded to your computer when Outlook Express connects to the mail server, and they will be deleted on the server and you will not see them on MyCUHK and CUHK Webmail Portal any more.

IMAP means that all your mails are still stored on the mail server instead of your computer. Because of this feature, you can access the same mails at different machines, on MyCUHK and on CUHK Webmail Portal.

In our computer laboratories, IMAP is used.

6. On Internet Mail Logon page, uncheck the option "Log on using Secure Password Authentication (SPA)" and enter your Campus-wide E-mail System (Mailserv) computing id (e.g. s888030) and password (if you want to save it).

7. Click Finish to save the changes.
8. Click Close.

9. The system may prompt you to enter your CWEM password to retrieve your e-mails and folders residing on the server.

If you select No, you can check your e-mail again later by clicking Send/Receive on the menu bar.

Or, you can select Yes to read your e-mail now.


a. Enter password if necessary.

b. A list of folders will then be downloaded onto your computer.
c. Click OK.

d. If you select server type as IMAP, you should select the Inbox under mailserv.cuhk.edu.hk folder to read your e-mails.

If you select server type as POP, you should select the Inbox under Local Folder to read your e-mails.

2. E-mail Alias and E-mail Drop Box

By default, your maildrop box is your-computing-id@mailserv.cuhk.edu.hk . Through "Changing CUHK E-mail Alias and E-mail Drop Box" service, you can give yourself an e-mail address in the format of alias@cuhk.edu.hk .

3. E-mail Forwarding and Vacation Auto-Reply

E-mail forwarding allows you to forward your e-mails from CWEM account to other e-mail addresses, like Hotmail and Yahoo! Mail. And after activating vacation auto-reply, the system will automatically send a vacation notice to the incoming e-mails.

You can change your preferences for these two functions through the web interface to the CWEM system at http://webmail.cuhk.edu.hk. After login, click on the "Forwarding" or " Vacation" icons at the top navigation bar.

4. Caution When Using Outlook Express

  1. If you want to access the same mails at different machines, at home or on campus, you should always check whether the IMAP feature is enabled.

  2. All the sent mails will not be saved on the server. They will only be saved on the computer where you have sent the mail.

  3. Pop-enabled e-mail program (like Eudora, Netscape Messenger and MS Outlook Express) users may sometimes receive message like "Don't Delete This Message - Folder Internal Data" in their mailboxes. This is an automatically generated system message which mark whether the e-mails are read or answered. This message is prompted whenever you use Pop-enabled e-mail program to read e-mails after using pine or any IMAP-enabled e-mail programmes. You can delete this message as our system can handle it or re-create it if necessary. Details can be found at http://www.washington.edu/pine/faq/errors.html#4.4.

5. Troubleshooting Tips

If you occasionally receive errors like "no response from server" when retrieving or sending e-mails, please
A) Change server time-out value to 4 minutes.

B) Adjust e-mail checking interval to 15 minutes

1. Click Tools -> Accounts in the top main menu
2. Click Mail and then Properties on the right of the diolog window
3. In the Properties window as shown below, click Advanced and set Server Timeouts to 4 minutes.
4. Click OK to finish.


B) Adjust e-mail checking interval to 15 minutes

1. Click Tools -> Options in the top main menu.
2. Under the General page, change the e-mail checking interval to 15 minutes from the Send and receive mail.
3. Click OK to finish.
