A Web Interface to the CWEM System
User Manual
Version 1.5, July 2008

A Campus-wide E-mail system (CWEM) is setup and maintained by the Information Technology Services Centre (ITSC). As a university member, you are entitled to have an e-mail account with 150 megabytes storage space. You can access your e-mails through the following methods.

In this document, you will learn how to use CUHK WebMail System to access your e-mails residing on Campus-wide E-mail System (CWEM).

1. Login the CUHK WebMail System

CUHK Webmail System is similar to other web-based email system like Hotmail and Yahoo. You do not have to register but you have to collect your CWEM account information (http://accounts.itsc.cuhk.edu.hk) from the ITSC before you log in.

a.      Go to http://webmail.cuhk.edu.hk with your web browser (e.g. Internet Explorer or Netscape Navigator).

b.      You will be prompted with a dialog box to accept a site certificate which claims to be issued by The Chinese University of Hong Kong.

It is because the browser does not automatically recognize this certificate.

Press Yes to accept the certificate.

c.      When prompted with a login screen, enter your CWEM computing ID and password. You may select the appropriate language here.

2. Main Menu Options

The main menu contains various frequently used functions for you to manage your email account. They include:
2.1 INBOX – for reading/deleting/moving your incoming mails
2.2 Compose – for writing a mail
2.3 Folders – for managing your folders on message server
2.4 Options – for updating personal information, message management and other options
2.5 Search – for searching mail
2.6 Help – for getting help on the use of WebMail system
2.7 Address Book – for managing your contact list
2.8 Forwarding - for setting or cancel e-mail forwarding function
2.9 Vacation - for activating or cancel vacation auto-reply function
2.10 Logout – for leaving the WebMail system

2.1 INBOX

All your new messages are stored in your INBOX unless you have set up filter for filing specific mails.

2.1.1Read a message

a.      Click on the message you want to read.

b.      In the message, You can use the available functions for actions including

  •  Delete – for deleting the message
  •  Reply – for replying the sender
  •  Reply to All – for replying the sender and other listed recipients
  • Forward – for forwarding the message
  • Redirect – for redirecting the message
  • Blacklist – for filtering the message
  • Message Source – for listing the message source
  • Save as – for saving the message on your local computer
  • Print – for printing your message to a connected printer

2.1.2 Delete a Message

a. Check the check box of the associated message.
b. Click Delete and you’ll see the message highlight and a trash icon displayed.
3. Select Purge Deleted to remove it from your mailbox permanently. Select Undelete if you do not want to delete it.

2.1.3 Move/Copy a Message

a.      Check the check box of the associated message.
b.      Select the required folder from the pull down menu and click Move/Copy.
Refer to Section 2.3 for details of creating a new folder.

2.2 Compose a Message

a.      Select Compose from the main menu to write a new message.
b.      A new window will be displayed.

Your default identity should be your-computing-id@mailserv.cuhk.edu.hk. Please refer to Section 2.4 for the setup details for a new identity with your-name@cuhk.edu.hk.

c.      Click Send Message to send the message.

If you have specified to keep copy of all outgoing messages to the sent-mail mailbox, a copy of this sent message will also be filed in your sent-mail folder automatically.

2.3 Folders Management

By default, the following folders have been created for you.

a.      Click the Folder option to manage your folder.
b.      Click Show Unsubscribed to list all the available folders.
You should find all the available folders listing on the screen.
c.      Create a folder at top level or within the INBOX to facilitate your work.

d.      Enter the folder name in the prompted box e.g. itsc and click OK.

The system only suppots the following special characters: _ + - . : = @ . Therefore, please DO NOT create a folder name that contains other special characters or space and Chinese characters. You will not be able to retrieve the folder if you do so.

e.      Click Hide Unsubscribed to refresh the folder listing.
f.        Click the newly created folder and select Subscribe to Folders from the Choose Action: pull down menu.
g.      For successful subscription, you will be prompted with You were successfully subscribed to “itsc”.
h.      Besides, you can also select the newly created folder through the Open Folder.

2.4 Options

Various functions are available under Options to facilitate you to manage your e-mail account, like changing your personal information, filtering e-mails and changing display options. Most of them are self–explanatory. You can simply follow the instructions or read the Help Section.

2.4.1 Change Personal Information

a.      Click Options from the main menu bar.
b.      Click Personal Information in the Options page.
c.      On the prompt dialog box, click Edit your identities.
d.      Enter the required information.
e.      Click Create to confirm the change.
f.        The system will prompt you that your personal information have been saved.
g.      Press Cancel to return to the Personal Information option. And you should also find the default changes.
h.      Select the newly created identify as your default identity. Press Save Options to save the changes.

2.4.2  Filter Your Incoming Messages

A shortcut of setting up the filter rule is to select blacklist button when you read a message. Otherwise, you can specify the rule by following the steps below.

a.      Select Options from the main menu bar.
b.      Click Filter in the Options page.
c.      Select Edit your filter rules.

The system will prompt all the rules that you have previously set.

d.      To block an email address e.g. big@boss.com

  • Check  From field
  •  Enter big@boss.com in the Text box
  • Press Create
e.      The new rule will then be saved on the system and effective at once. You can further click Apply All Rules and return to the INBOX. You will also find all messages sending from this address (if any) will be automatically marked deleted in your INBOX.

2.5 Search

You can use the available Search engine to check for the messages of a particular sender or subject.

a.      Select Search from the main menu bar.
A new search window will then be displayed.
b.      Enter any of the required information of the corresponding field and the list of search result will then be displayed on screen.

2.6 Getting Help

a.      Select Help from the main menu bar.
b.      Corresponding help will then be displayed on your screen. Select the required topic for further assistance.

2.7 Address Book

In addition to the usual features offered by other web-based e-mail systems, in the CUHK Webmail System, you can search the email address of University staff and students not included in your address book.

a.     Select Address Book from the main menu bar.
b.     Enter your search name (e.g. ITSC Helpdesk) on the matching box and press Search.
c.    All the matching results will then be prompted on screen.
d.  To quit Address Book, click Mail to bring you back to the INBOX.

2.8 E-mail Forwarding

a. Select Forwarding from the main menu bar.

b. The e-mail forwarding form will be displayed. Select "Set e-mail forwarding to:" and enter the forwarding address in the textbox beside.

Check the box for "Keep a copy in CWEM mailbox (default no)" if you like to keep a copy of your e-mails in CWEM mailbox.

If you would like to cancel this function, choose "Cancel e-mail forwarding.

c. Click Submit to apply the changes.
d. If forwarding is successfully set, messages saying "Forward set!" and "Forwarding is currently enabled." will be shown at the top of the form.
If the function is cancelled successfully, the message saying "Forward removed!" will be shown at the top of the form.
e.  To quit E-mail Forwarding form, click Mail to bring you back to the INBOX.

2.9 Vacation Auto-Reply

a. Select Vacation from the main menu bar.

b. The vacation auto-reply form will be displayed. Select "Activate vacation notice (Please enter a message in the box below)" and write the vacation notice in the box below.

If you like to cancel this function, select "Remove vacation notice".

c. Click Submit to apply the changes.
d. If auto-reply is successfully, the messages saying "Vacation set!" and "Vacation is currently enabled." will be shown at the top of the form.
If the function is cancelled successfully, the message saying "Vacation notice removed!" will be shown at the top of the form.
e.  To quit Vacation Auto-Reply form, click Mail to bring you back to the INBOX.

2.10 Logout the CUHK WebMail System

a.      Select Logout from the main menu bar.
b.      The system will then prompt you a message with You have been logged out.

3. E-mail Alias and E-mail Drop Box

By default, your maildrop box is your-computing-id@mailserv.cuhk.edu.hk . Through "Changing CUHK E-mail Alias and E-mail Drop Box" service, you can give yourself an e-mail address in the format of alias@cuhk.edu.hk . For details, please visit MyCUHK. After login, click on the "Services" tab on the top navigation bar.
